Reply to a lead in five minutes or lose it

The fastest reply wins more often than the best reply. Here is how to actually hit five minutes.

Why speed beats polish

When someone fills in a form or sends a message, they are shopping. They have almost always contacted two or three businesses at the same time. The one who answers first gets to frame the conversation, and very often gets the job before the others have even seen the enquiry. A rough, friendly reply in four minutes beats a beautifully written quote the next morning.

Where the time actually goes

Most small businesses do not lose the lead because they are lazy. They lose it because the enquiry lands somewhere nobody is looking. A website form that emails an address checked twice a week. A Facebook message in an inbox only the owner can open. A missed call with no follow up. The leak is almost never effort, it is plumbing.

How to fix it this week

  1. Send every enquiry to your phone, not just to email. WhatsApp or push notification.
  2. Give one person the job of first reply, even if that person is you.
  3. Write three replies in advance and save them. One asking a qualifying question, one with a price range, one saying “I am on site, can I call you at 16:00”.
  4. Answer with a question, not a quote. “What area are you in?” keeps the conversation open.
  5. If you cannot reply within an hour after hours, put something in front of the form that can. An AI agent that answers basic questions and captures the number is cheaper than one lost job a month.

The honest test

For the next two weeks, write down the time each enquiry arrived and the time you replied. Nothing else. Most businesses find their average is over four hours and are genuinely surprised. Once you can see the number, it fixes itself.
